Build a standing waitlist, not a vague memory. Every time a client says "I wanted Saturday but you were full," that's a name for the list. When a gap opens, you're not guessing — you're offering a slot someone already asked for. That conversation converts because you're solving her problem, not begging to fill yours.
Three habits make gaps disappear:
Reach the right people, fast. A same-day gap needs a same-minute message. The client who can come at short notice is usually the one who lives nearby or works flexibly — flag them so you call them first instead of working down the list cold.
Lead with the treatment, not the discount. "I've had a 2pm come free if you want your roots done before the weekend" beats "20% off if you fill this slot." Discounting empty slots teaches clients to wait for cancellations. Offering convenience doesn't.
Track the no-shows separately. A gap from a genuine cancellation is bad luck. A gap from a repeat no-show is a pattern worth managing with deposits.
